Privacy Policy

This Privacy Policy explains what data Traccion collects, why we collect it, how we use it, and the choices you have. By using Traccion, you agree to the practices described here.

1. What we collect

Account data

When you sign up we collect your name, email, business name, business address, phone number, and the plan you chose. We use this to create your account, provision your AI line, send transactional email and SMS, and bill you.

Call data

Our AI receptionist records calls and stores transcripts so it can recall context, surface bookings in your dashboard, and improve voice quality. Recordings include the caller's voice and anything they say. You are responsible for disclosing recording to callers where applicable law requires it.

Usage data

We collect device, browser, IP, and basic event data when you use the dashboard. This helps us run rate limits, debug issues, and improve the product.

Payment data

Payments are processed by Stripe. We never see or store your full card number. Stripe sends us the last four digits, card brand, and a non-reversible customer/subscription identifier.

2. How we use it

  • To provide and operate the Services, including provisioning numbers, training your AI on your business, taking calls, sending confirmations, and billing.
  • To improve features, debug, and detect abuse.
  • To send service announcements and product updates. You can opt out of marketing email; transactional email (receipts, security, account changes) is required.

3. Service providers and what they see

Voice calls and certain dashboard features rely on third-party infrastructure: AI model providers, telephony and SMS, transcription, text-to-speech, database hosting, and authentication. When you place a call to or through your AI line, audio and transcripts are processed by these providers under their data-processing agreements. We do not authorize them to train general models on your data. A current list of sub-processors is available on request by emailing [email protected].

AI and large language models

Traccion uses large language models (LLMs) to power the AI receptionist, the dashboard assistant, audit and visibility analysis, ad and marketing drafting, and content generation. To provide these features we send relevant content β€” including call transcripts, the questions you ask the assistant, and summary business data (such as calls, leads, bookings, and ad spend) β€” to our AI model provider(s) for processing. Our agreements with these providers prohibit them from training their general-purpose models on your data. AI outputs can be inaccurate; review them before relying on them. Authorized Traccion personnel and our providers may review a limited sample of content to monitor safety, prevent abuse, and debug the Services.

4. SMS and text messaging

Traccion uses SMS in two ways, both consent-based: (1) account and lead notifications sent to a business owner about their own Traccion account (for example, a new lead or booking, or a billing alert), and (2) marketing messages sent on behalf of a Traccion client to that client's own contacts who have opted in. Calls handled by the AI receptionist may also send appointment confirmations, reminders, and follow-up messages such as a booking link.

  • Consent. We only text people who have opted in. Consent is collected (a) via our signup web form, where a business owner checks a box agreeing to receive account and lead notifications by SMS and email at the number they provide; (b) for client marketing, via a separate opt-in (web form or checkbox) by the client's contact before any promotional text is sent; and (c) for callers, when someone asks the receptionist to text them and confirms on the call. Each consent event is logged with a timestamp, the consenting party, and the exact consent text. We never message purchased, scraped, or cold lists.
  • Opt-out. Reply STOP to any message to stop receiving texts at any time. Reply HELP for help.
  • Cost. Message and data rates may apply. Message frequency varies based on your interaction with the business.
  • No sharing for marketing. We do not sell or share mobile information with third parties or affiliates for their own marketing or promotional purposes. Text-messaging consent is never shared with anyone for marketing.

5. Connected platforms and authority requests

Data from connected platforms

When you connect a third-party account (such as Meta/Facebook, Instagram, Google, or your website) so that Traccion can manage advertising, publish content, send email, or read analytics on your behalf, we receive data from that platform β€” for example a user ID, name, email, ad-account information, and an access token. We call this "Platform Data." We use Platform Data only to provide the service you connected it for, we store access tokens encrypted at rest, and we never sell it or use it to train general-purpose models. You can disconnect a platform at any time from your dashboard, which revokes our stored access.

Google user data

With your authorization, Traccion accesses Google Analytics and Search Console (read-only) to report your traffic and rankings; Google Ads to read and help optimize your campaigns; and Gmail (send-only) to send marketing emails you compose, from your own Gmail account. Traccion's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically, we do not use Google user data to serve advertising, do not sell it, do not transfer it except to provide or improve these features, to comply with applicable law, or as part of a merger or acquisition, and do not use it to develop, improve, or train generalized AI or machine-learning models. We do not allow humans to read your Google data except with your consent, for security or abuse investigations, to comply with law, or on aggregated anonymized data for internal operations.

Data minimization

We request and retain the minimum data necessary to deliver the Services. When responding to any third party β€” including public authorities β€” we disclose only the minimum information required.

Requests from public authorities

If a government or public authority requests user personal data, our process is to (a) review the legality of each request before responding, (b) challenge requests we consider unlawful or overbroad, (c) disclose only the minimum data necessary, and (d) document each request, our response, and the legal reasoning involved. We will notify affected customers where we are legally permitted to do so.

Data controller

Traccion (operated by Emmanuel De Leon, United States) is the entity responsible for Platform Data shared with us and determines the purposes and means of its processing. Questions about data handling can be sent to [email protected].

6. Who else we share with

  • Payment processor β€” billing and payment processing.
  • Transactional email provider β€” receipts, security, and account-change emails.
  • Directory and citation networks β€” only the listing data you authorize us to publish on your behalf (business name, address, phone, description, categories, services).
  • Government or law enforcement β€” when required by valid legal process.

We do not sell your personal information.

7. Retention

Account data lives as long as your account is active. Call recordings and transcripts are retained for up to 24 months by default; you can request shorter retention by emailing us. On account closure, we delete or anonymize your data within 60 days except where retention is required by law (e.g., tax records).

8. Security

Data in transit is encrypted with TLS. Data at rest is encrypted on our managed Postgres infrastructure and on S3-compatible object storage. Access to production systems is restricted to authorized personnel. No method of transmission or storage is 100% secure, but we follow industry-standard practices.

9. Your rights

Depending on where you live, you may have the right to access, correct, export, or delete your personal data, and to object to certain processing. To exercise any of these rights, email [email protected]. We will respond within 30 days.

California residents have additional rights under the CCPA, including the right to opt out of "sale" or "sharing" of personal information. We do not sell or share personal information for cross-context behavioral advertising.

10. Cookies and consent

We use a small number of essential cookies for authentication, security (CSRF protection), and remembering your cookie choice. Essential cookies are required for the site to function and do not need consent. We currently load no third-party analytics or advertising cookies. If we ever add analytics or marketing cookies, they stay off unless you enable them in the cookie banner, and you can change your choice at any time via "Cookie preferences" in the footer.

11. Your privacy choices (GPC, opt-out)

We honor the Global Privacy Control (GPC) browser signal: when your browser sends GPC, analytics and marketing cookies are disabled automatically and your choice is recorded. We do not sell or share personal information for cross-context behavioral advertising, so there is nothing further to opt out of today; if that ever changes, this section and the cookie banner will provide the opt-out first. 12. Artificial intelligence

Traccion products are AI systems β€” AI phone receptionists, AI chat, and AI-assisted content. Our AI identifies itself as AI, disclosures are described in full in our AI Disclosure, and call recordings/transcripts are processed by the AI providers listed there to deliver the service.

13. Children

Traccion is not intended for users under 18 and we do not knowingly collect data from children.

14. International transfers

Traccion is operated from the United States. If you access the Services from outside the U.S., your data is transferred to and processed in the U.S.

15. Changes to this policy

We may update this policy. Material changes will be announced by email and by posting a new effective date.
